When an organization is thinking of conversion of one ERP system to another, it has to consider certain important factors for the smooth running of the process. One of the major factors is how to handle to “existing data” of the organization. The data may be more than 10 years old or even more but we need to think about the implications while migrating the data. Certainly, you come across certain common questions while performing the system conversion. This is where you need to face the biggest challenge, which is “archiving”. This helps in minimizing the conversion time and reduces the errors while migrating the data. This topic has to be discussed internally or with your clients ensuring all the local statutory and other requirements are taken care of and can be met continuously.

Here, in this blog, we shall discuss certain scenarios which you may feel important and worth discussing, about conversion and data transition. Selective Data Transition is also called “Landscape Transformation”. It refers to consolidating the current SAP business suite landscape into a global SAP S/4HANA system. The business benefits that you can expect are hardware being reduced, migration time, efforts and cost can be reduced.

Selective Data Transition is a substitute for the Greenfield or Brownfield approach. This approach is to be finalized when doing a data migration from one SAP system to another. This approach assists the organizations to enable the right between processes and even to choose some of the SAP ECC processes and work on other parts. It also helps to migrate the existing company code data either for all or for related fiscal years. Many times, it also helps clients consolidate existing SAP ERP landscapes to S/4HANA using the above approach. Usually, this approach is helpful when organizations have a vast amount of data with several company codes and when data migration is based on SAP LT technology.

Advantages of using this approach • Combines both Conversion and Implementation.

• Can be redesigned and reused.

• Consolidation of various ECC systems into one system.

Before conversion, need to take care to complete the closure of the financial accounting and reconciliation process and establish the baseline so that you can start working with the new S/4HANA for all specific fiscal years. This establishes a clear starting of the S/4HANA environment. Keep in mind not to import the legacy issues into the S/4HANA system.

Usually normal system conversion process, all company codes to be moved to a new structure and we don’t find any option. But in the Selective Data Transition method, we can move specific fiscal years’ data or company codes. Hence, it’s called “Selective”. Organizations have two options, hence the name “Selective”. A) Shell-Creation and B) Mix & Match

Shell-Creation • System copies with NO data

• Need to complete all the preparation and realization activities

• Conversion to SAP S/4HANA system

• Selective data transfer as per company codes and years

Mix & Match – It has two variants as SAP S/4HANA Greenfield approach with and without SAP Model Company. This approach helps organizations with custom designs like implementations. Consultants while working on such projects manually define system configurations and repository information. Settings and Processes can be partially created or imported from old ERP systems. While performing the data migration between existing and new systems, data selection includes open processes or complete history. Phase-wise Go-Live is also possible where Selective Data Transfer needs to be for specific years and company codes.

Comparison – The major difference between the system conversion and selection data transition is the use of tools.

Conclusion

While moving from SAP ERP system to SAP S/4HANA system, you have a number of ways to achieve to make your business setup and running. As we came to know about the new implementation approach (greenfield) and system conversion approach (brownfield), the selective data transition project approach is minimal.
